The mentor logs into the system, and join to the chat room (textual of VoIP) one day per week. He notify the other mentors what his team heave done in the last week. The mentors plan what they will do on the next week. After the short chat (about 30-60 minute) a secretary (possibly one of the mentors) takes notes, and saves them to the system so they're displayed in the instant messaging tool of the group.
